Which systems to choose?

There are a range of accounting systems you can use to keep your records and file your accounts. The market leaders in the UK are Xero, Intuit QuickBooks and Sage.

Xero

Xero is a cloud accounting software which can be easily accessed from any device. Its double authentication log in system means your finances and records are extremely secure. Xero also syncs directly with your Bank, so all Bank transactions can be automatically imported and coded, as it remembers the categories used for certain transactions which makes balancing the books easy!

Sage

Sage is a large accounting software for small businesses that is mainly designed for desktops but can be accessed on any device. Sage has very thorough documentation and provides online and phone-based support. You can share your financial data with your accountant and others by storing it on the web-based Sage drive. Sage allows you to undo data entry by restoring data from the recent cloud back-up.

Intuit QuickBooks

QuickBooks is another cloud accounting software that has been around for a long time. Quick books have many features such as customisable invoices and payroll support. They also update their software regularly and start their packages at reasonable prices. QuickBooks also includes automatic sales receipts, split transactions, scheduled invoices and location and class categories.

Which is our personal favourite?

We use ‘Xero’ for all our accounting. Xero has many integrations with other awesome apps for business, such as ‘Hubdoc’, which automatically takes info straight from your receipts, bank statements and invoices, so you can simply snap a picture or forward an email to get the info into your accounts. It is very simple to use and automates many tasks that used to take up a lot of time. Xero also makes payroll simpler as you can keep employee pay records online and easily reconcile salary and wage payments.

By having all your finances and transactions linked to Xero you can automatically track costs and profitability of your projects and jobs. You can also send invoices quickly and customise them to have a ‘Pay now’ button so you will receive payments faster.

All our staff members use Xero and Xero Practice Manager to complete operational tasks. All our client managers and payroll staff are Xero certified and know Xero back to front. The Numbers Business have used Xero accounting software for over 10 years and in our opinion, it is by far the most user-friendly software and has the best range of features for small businesses, with affordable prices.
